Who this workflow fits
This is for a 0–5 person local service business where a customer's details currently land in more than one place — a phone/text inbox, a booking calendar, maybe a web form — and someone retypes the same name, number or job into a CRM. The workflow below names one source of truth, one duplicate key, one update direction, who's allowed to edit records, and what to check when a sync fails.
The workflow in one sentence
Pick one CRM (or a lightweight stand-in like Google Contacts or Google Sheets if you don't run a CRM yet) as the single source of truth; let Beside push each call, voicemail or text into it one-way, matched to an existing contact by phone number or email; feed any web form into that same record using the same matching key as a separate, clearly labelled step; and check Zapier's own run history — not Beside, which publishes no sync-failure dashboard of its own — when a record doesn't show up.
Step 1 — Choose the source of truth
The source of truth is the one place you'll treat as correct when two tools disagree — usually whichever tool you already open every day. Beside's current connector list only covers certain CRMs natively or through Zapier; everything else (including field-service and property-management platforms) is out of scope for this workflow.
| Record system | Best fit | How it connects | Included on Beside Phone plans? |
|---|---|---|---|
| HubSpot | Shops already running HubSpot for sales/marketing | Native/direct Beside connector | Yes — included on both plans |
| Salesforce | Shops with an existing Salesforce org | Native/direct Beside connector | Yes — included on both plans |
| Zoho CRM | Shops already on Zoho's suite | Native/direct Beside connector | Yes — included on both plans |
| Follow Up Boss | Real estate / service pros already in FUB | Native/direct Beside connector | Yes — included on both plans |
| Pipedrive, Attio, Monday CRM, Odoo, Notion, Zoho Flow | Shops running one of these as their CRM | Via Zapier (Settings → Connected Integrations → Zapier) | Via Zapier — included as a connection option on both plans |
| Google Contacts | Solo operator with no CRM, wants an accurate phone book | Via Zapier; Beside markets 'duplicate safe updates' here | Via Zapier |
| Google Sheets | No-CRM fallback for basic visibility/QA | Via Zapier; one new row per call/text event | Via Zapier |
Step 2 — Define the duplicate key
Across every Beside CRM connector checked, the stated matching logic is the same: an incoming call, voicemail or text is matched to an existing contact by phone number or email; if neither matches, a new contact is created automatically. Beside does not publish how it resolves a case where the phone number and email point to two different existing records, and it does not document whether phone-number formatting (missing country code, dashes, spacing) is normalized before matching runs. Treat this as 'fewer duplicates,' not a guarantee of zero duplicates, and spot-check new contacts for the first few weeks.
Step 3 — Set the update direction
Every Beside CRM integration page describes one direction only: Beside pushes call and text events into the CRM. None describe the CRM pushing edits back into Beside. State this as a design decision up front — if a teammate corrects a customer's name or number inside the CRM, that correction stays in the CRM and will not flow back to Beside's own contact record. Whoever answers the next call will see Beside's version, not the CRM's edited version, unless you manually update both.
Step 4 — Add the booking leg
Beside's AI receptionist books appointments against either a connected Google Calendar or bookable hours set directly inside Beside, and the booking becomes a CRM contact with the call transcript attached — flowing through the same one-way, phone-or-email-matched path as a regular call. No other calendar provider is documented as connectable for booking, so if your booking tool is something else (Calendly, Acuity, a field-service scheduler), that booking stays outside this sync and needs its own separate feed into the CRM.
Step 5 — Add the form leg (labelled design example, not a verified Beside feature)
Beside's integrations directory names no web-form tool, and Beside's own inbound channels are calls, voicemails, voice memos, voice notes and texts — not form submissions. There is currently no verified connector for Beside to ingest a web form directly. The design example below shows how to keep a form converging on the same customer record without routing it through Beside at all.
- Design example only — not a tested Beside integration: connect your form tool (e.g. a website contact form via Zapier, Google Forms) directly to the same CRM you chose in Step 1.
- Use the identical duplicate key: match the form submission's phone number or email to an existing CRM contact before creating a new one.
- Map only the fields you'd map for a call: name, phone/email, and the message or job description — avoid syncing every form field, since Beside's own integration guidance warns 'junk fields create junk CRM.'
- Keep this as a second, independent Zapier flow rather than trying to route the form through Beside's phone system, since no such path is documented.
Step 6 — Set permissions (recommended practice, not a documented Beside feature)
No Beside documentation defines which team members can create, edit or disconnect a Zapier-based CRM sync. Until that's documented, the safest default for a 0–5 person shop is: one owner or manager sets up and owns the Zapier connection in Settings → Connected Integrations → Zapier, and day-to-day edit rights to customer records are controlled through the CRM's own user roles — not through Beside. This limits the number of people who can break the sync itself while still letting the team update records inside the CRM.
Step 7 — Build failed-sync recovery
No Beside page describes a Beside-side dashboard, alert or retry mechanism for a failed CRM sync. Because the connection runs through Zapier for most CRMs, recovery visibility lives in Zapier, not Beside.
- If a customer's call doesn't appear in your CRM, open Zapier's Zap History first — every automation run gets a status (success, error, filtered).
- Errored runs can be replayed manually from Zap History, or Zapier will auto-replay some errors for you.
- Zapier commonly disables a Zap automatically if a high share of its runs — widely reported as around 95% — error within a 7-day window; this threshold comes from third-party documentation of Zapier's behavior, not Zapier's own exact published wording, so treat it as approximate.
- If the Zap is disabled, you'll need to manually reconnect/re-enable it in Zapier before new calls resume flowing to the CRM — check this weekly until you trust the sync.
Step 8 — Stage the rollout
Beside's own integration pages recommend running the phone line for about a week before turning on a CRM sync, starting with only new contacts and the call summary synced, then adding transcripts and booking times once that's stable — because, as Beside puts it, 'junk fields create junk CRM.'
| Plan | Price | AI Receptionist calls | Trial |
|---|---|---|---|
| Baseline | $29/business/month | 30 calls/month | No trial listed |
| Unlimited | $99/business/month | Unlimited | 7-day trial, payment method required |
HubSpot, Salesforce, Zoho CRM, Follow Up Boss and Zapier are listed as included integrations on both current Beside Phone plans above. This is a different product and price from Beside's separate credit-based agent workspace (beside.com/pricing); don't mix the two when budgeting for this sync.
