We answer phones for small service businesses all day. The appointments that go wrong are rarely the ones nobody wrote down. They are the ones nobody confirmed.

Automating appointment reminders takes two things: the appointment written somewhere machine-readable the moment it is agreed, and two messages after that, a confirmation at booking and one reminder the day before. The harder half is the reply. Beside is the line those replies land on.

The afternoon you held is gone either way, and the average homeowner hired out ten projects last year, so the one who was not home has more to give.

Your appointment is in three places and none of them can send a text

Most guides on this start with "open your scheduling software." If you run a booking page, skip to the cadence. Most owners we work with do not, because the appointment was agreed out loud in a driveway.

So it lives in three places: your memory, a text thread, and a calendar entry you typed at a red light. No reminder tool can send a message about an appointment it cannot see. Before the truck moves, the appointment gets four fields:

  • The name, spelled the way they spell it
  • The mobile number you will text
  • The date and the arrival window, not "Tuesday"
  • The address, and the access detail that costs you a call otherwise

Any calendar with a phone number field is enough. We wrote about getting the appointment booked in the first place separately.

The reply is the part that actually needs automating

Sending is close to solved, and the exact steps are further down this page. What comes back is the part nothing solves for you.

A reminder invites an answer, and the answer arrives at 8:40pm. A customer who asked to move and got silence until 7am is worse off than one you never texted; by then the truck is loaded and thirty miles are already spent. An unread reply is a no-show you paid to ask for.

What answers the reply today

Whatever owns the number you sent it from. On where a booked appointment lands: the app sends summaries with suggested actions and calendar events (Source: Beside on the App Store). No calendar or scheduling product is on that list, so there is no native Google Calendar, Calendly or Acuity sync today.

How many reminders, and when

Two touches do the work: a confirmation when it is agreed, one reminder the day before with the arrival window.

A 2026 systematic review of ten trials found reminders improved attendance by about 11% against usual care, measured on hospital outpatients rather than on driveways (Source: Journal of Hospital Management and Health Policy, 2026). In that same review, telephone reminders reached statistical significance and text messages alone did not, so the text is the cheap first touch.

A 2022 randomized study across 125,076 primary-care visits found a second text cut no-shows a further 7% (Source: The Permanente Journal, 2022). Past two reminders you are training people to ignore you. A day-of ETA carries new information, so it does not count against your two.

The cadence that holds up:

  • At booking: confirmation, sent within a minute of hanging up
  • Day before, late morning: the reminder with the window and a one-tap way to change it
  • On the day: an ETA, sent at the moment you actually pull away

What each message should say

Yours to copy.

Confirmation: "Confirmed: Mike from Ellis Plumbing, Thursday between 8 and 10am, 214 Oak St. Reply here if that changes."

Day before: "Reminder: we're at 214 Oak St tomorrow between 8 and 10am. Reply 1 to confirm, or tell us a better day."

On the way: "On the way now, about 20 minutes out. Truck is a white F-250."

The window makes the first two work. "Later today" is not an ETA and customers treat it as optional.

A confirmation for an appointment somebody booked is a different kind of message from a promotion, and mixing the two in one thread is how a useful reminder becomes a complaint. Keep offers somewhere else, and honour a stop request the day it arrives.

Owners ask whether this means a machine improvising to their customers. You write the three messages once, in your words; the schedule only decides when they go.

How the message actually leaves your phone

A calendar alert reminds you to send. Scheduling sends it for you, and both phones do that free. On iPhone, open the conversation, tap Send Later and pick the time, up to fourteen days ahead. Send Later needs the conversation to be an iMessage thread, so a chat that shows up as SMS cannot be scheduled this way (Source: Apple, iPhone User Guide). On Android 7.0 and up, Google Messages schedules plain SMS: hold Send, choose the time (Source: Google Messages Help).

Two limits. Nothing here is set-once: you schedule each message per appointment, which holds at a few jobs a day and stops there. And the answer returns to whatever number sent it, so scheduling from your personal phone puts the 8:40pm reply where nobody is watching.

A Thursday with two confirmations and one change of plan

Three jobs back to back, the day that pays for the slow ones. Two confirmations come back fine. The third replies at 8:40pm asking for Friday.

Read that night, Friday gets offered and the Thursday slot goes to the customer who called Tuesday for a quote.

Read at 7:15am on the way, the truck drives thirty miles for nothing. By our own arithmetic that is $22.80 at the IRS business rate of 76 cents a mile (Source: IRS standard mileage rates, 2026), on top of a window worth around $1,143 if a job had filled it (Source: Angi, 2025). The drive is the smaller of the two numbers.

Both branches sent the same reminder. The difference was whether anything watched the line at 8:40pm. If your schedule comes apart during the day instead, the mid-day version is the closer problem.

Leave two things alone. Negotiating a new time on a job with access constraints, because the second question is one no template answers. And the second chance for someone who already no-showed.

Where this is heading

Beside is opening something new soon for businesses that run on appointments. Confirmations and reminders that cut no-shows are on the public list of what it will do; a date is not.

The genuinely hard part is the emptied slot that refills itself, and anything claiming to do that today is claiming a great deal. The follow-up after the job is the same problem.
